Marketing Manager (bilingual English & Spanish)

Full-Time, Exempt, Reports to Executive Director

Position Summary

The Levitt LA Marketing Manager (Manager) manages all communications with Levitt LA’s audience and supporters. The Manager plays a key role in strengthening Levitt LA’s presence in the Los Angeles music industry, surrounding communities, and audience development.

With guidance from the Executive Director, and in collaboration with staff, the Manager shapes Levitt LA’s marketing and promotion strategies, and implements a broad spectrum of Levitt LA’s communications to advance the organization’s mission, including elevating Levitt LA’s brand, individual donor and sponsorship communications, and social media.

As a member of the Levitt LA team, the Manager provides on-site support throughout the summer concert season and is expected to attend every concert of the series, Thursday through Sunday evenings, June through early September. In addition, the Manager engages with audiences in a variety of off-season community engagement events with the Director of Community Relations & Partnerships throughout the city, locations and partners vary.

Responsibilities and Duties

  • Upholds the voice for Levitt LA’s brand with passion while tending to the daily administrative details that are critical to organizational success
  • Tracks and manages the annual marketing plan and budget
  • Maintains tracking of Levitt LA’s external communication efforts and the effectiveness of various marketing strategies; provide regular reports to organizational leadership
  • Creates communications such as eblasts, social media posts, fundraising letters, event invitations, sponsorship decks, project descriptions, etc.
  • Designs basic invitations, postcards, eblasts, and other marketing materials
  • Translates and proofs all copy in English and Spanish
  • Implements day-to-day social media activation and eblasts to advance Levitt LA’s communication strategy and shapes the organization’s voice
  • Manages the advertisement strategy and allocates funds per media outlets with leadership
  • Maintains the Levitt LA website and aids in future website redesign
  • Supervises interns and consultants with guidance from the Levitt LA Executive Director
  • Works with a graphic designer to create season brochure, advertisements, and other materials
  • Helps PR contractor draft press releases and coordinates press outreach
  • Acts as a Levitt LA brand ambassador and attends community engagement events with Director of Community Relations & Partnerships
  • Retain comprehensive knowledge of trends, emerging platforms, and new technologies in the digital marketing and social media spaces
  • Other duties may be assigned as needed.

Skills & Experience

  • 5+ Years’ experience in communications strategy for the performing arts and/or music industry especially in Los Angeles highly preferred, or similar field, and a demonstrated ability to create compelling communications across multiple platforms
  • Exceptional writing and fastidious proof-reading skills in English and Spanish
  • Content strategy, content creation, and social media management for the performing arts, music industry or similar field
  • Experience with Digital/Radio/TV Buy Ads
  • Experience with Digital Marketing Analysis in live events such as Facebook Business Manager and Google Analytics
  • Competent with MailChimp or similar platforms and Microsoft Office. Proficiency in CRM platforms is preferred but not required
  • Basic graphic design skills to create simple invitations, social media posts, e-blasts, and ads, Adobe Suite preferred but not required
  • Demonstrated success of utilizing and optimizing social media platforms Excellent time management skills with the ability to implement several projects simultaneously while meeting deadlines
  • Thrives in a high-performing, small nonprofit organization, with an understanding of its opportunities and limitations
  • Excellent interpersonal skills to communicate effectively with donors, Board members, community partners, audience members, and all Levitt LA stakeholders
  • Ability to navigate cultural complexities and a willingness to incorporate a variety of perspectives from Levitt LA’s diverse stakeholders, artists, and partners

Levitt LA Sustainability Responsibilities
All members of the small yet mighty Levitt LA staff are involved with the long-term sustainability work that comes with running a free concert venue, ensuring that multiple revenue streams work in unison for a successful, healthy, and ethical nonprofit. The Production Manager is partially responsible for creatively generating revenue from equipment rentals and event production during the off-season. Manager will aid the Executive Director with:

  • Provides support for the Levitt LA Board meetings, creating handouts and resource materials
  • Support with creating communication for Levitt LA’s individual donors and Board members

Compensation

This is an exempt position. Levitt LA works within a fixed tier salary system based on level of responsibility within the organization. The first year Manager level salary is $75,000, with an increase to $78,000 thereafter for all Manager level employees. Salaries increase equally for each staff member each year for inflation and are evaluated annually during the full organization transparent budgeting process. Medical insurance, 401K and employer match, and a robust vacation and PTO package included. Mileage and cell phone reimbursement offered.

Location

Levitt Pavilion is located in MacArthur Park with offices in the neighborhood. Staff are offered a work-from-home option with occasional team meetings and collaborative planning in the office. All staff are expected to be on site for all live in-person concerts, pop-up concerts, community engagements and fundraising events.

Title:  Production Manager, Levitt Pavilion Los Angeles

Full-Time, Exempt, Reports to Director of Operations

Position Summary

The Levitt Pavilion Los Angeles (“Levitt LA”) Production Manager is responsible for the overall production of the Levitt LA summer concert series. Working closely with Levitt LA team members, the Production Manager plays the lead role in concert production, including helping to develop feasible artistic programming, advancing all shows, managing equipment inventory, and ensuring the venue is maintained in a manner conducive to presenting high-quality performances. This position is responsible for the Levitt LA’s seasonal IATSE production crew, including recruitment and management, and upholding all IATSE regulations. This position also helps the full Levitt LA staff to obtain equipment rentals to outside entities and is responsible for managing the rentals. The Production Manager attends every concert of the summer series from May through September and other intermittent events throughout the year.

Job Duties

  • Collaborate with Levitt LA team members in building a sustainable, ethical, and relevant nonprofit FREE concert venue
  • Improve upon existing comprehensive production strategies that reflect the organization’s values
  • Be committed to Diversity, Equity, and Inclusion practices and participate in the often challenging conversations that the work requires along with the implementation of such efforts
  • Oversee all aspects of production as related to the summer concert series, special celebrations and benefit events  to ensure a smooth experience for the artists, audience and other participants from start to finish; exhibit resourcefulness and the ability to problem-solve and adapt as needed to ensure safe and efficient outdoor events; ensure that varied schedules are adhered to each day and that concerts and events follow regulatory permitting and codes
  • Actively participate in Levitt LA’s transparent budgeting process, bringing cost saving ideas and fundraising ideas to the table, all while having a voice in how Levitt LA’s funding is spent
  • Work collaboratively with Levitt LA’s programmers and Director of Operations to schedule and contract artists, ensuring the parameter of each show is feasible within Levitt LA’s available resources
  • Manage all aspects of artist contract execution; working closely with Director of Operations, marketing? and programming staff to obtain artist publicity photos, bio information, hospitality needs, W9s, CA Forms 588/590, and other required documents
  • Ensure timely payment of artists in coordination with Director of Operations
  • Coordinate with the Marketing Manager regarding artist press, film and photography requests
  • Communicate with artists prior to each concert, leading up to and day of, regarding Levitt LA’s expectations of artists and performers to ensure Levitt LA standards of providing high-quality, family-friendly entertainment for all ages will be met
  • Manage relationships with new and long term co-curator partners, ensuring coordinated efforts
  • Advance all artist technical requirements for the summer concert series, special celebrations and benefit events; determine and manage backline orders and equipment rentals; maintain an annual production book; manage, maintain, and communicate run of show to all staff
  • Create a feasible and ethical work schedule for all seasonal employees, ensuring programming staff and Levitt LA team members are in close communication
  • Maintain positive relationships with the public, artists, volunteers, sponsors, donors, partners, vendors, the media, contractors and staff; display a commitment to working effectively with people of diverse backgrounds and abilities
  • Perform other duties as assigned

IASTE Crew Management

  • Participate in the annual IATSE Union negotiations with Senior Staff and the Board of Directors
  • Secure and manage IATSE production crew for the summer concert series, special celebrations and benefit events; coordinate with production crew for schedule and venue needs
  • Adhere to and monitor a strict IATSE union work schedule, ensuring all overtime and holiday schedules are tracked and approved in advance

Venue & Equipment Management

  • Coordinate with City of Los Angeles Recreation & Parks staff for venue needs and scheduling including maintenance job orders
  • Help create and submit the annual City of LA Recreation & Parks Right of Entry permit and safety plan with staff
  • Ensure general Levitt LA safety protocols are always adhered to
  • Manage, repair and monitor sound, lighting, camera and video equipment inventory, including keeping inventory records; make recommendations regarding sound & lighting equipment purchases to the Director of Operations
  • Manage pre-season equipment installation at the venue; manage post-season equipment breakdown and load out
  • Maintain safe, clean and organized storage for the equipment during the off season
  • Coordinate film shoot requests and special event needs in and near MacArthur Park, as applicable to Levitt LA’s programming schedule, with third parties such as The MacArthur, Film L.A., etc.

Levitt LA Sustainability Responsibilities
All members of the small yet mighty Levitt LA staff are involved with the long-term sustainability work that comes with running a free concert venue, ensuring that multiple revenue streams work in unison for a successful, healthy, and ethical nonprofit. The Production Manager is partially responsible for creatively generating revenue from equipment rentals and event production during the off-season. Responsibilities include:

  • Source and execute rental and event contracts totaling $30,000 - $100,000 per year to advance Levitt LA’s mission of free arts access and building community through music
  • Pursue and manage sound, lighting, video, and live stream equipment rentals to outside entities, per established organization policies and procedures
  • Source, manage, and contract vendors, staffing, and rentals for events
  • Work closely with Executive Director to budget and negotiate with partners

Skills & Experience

  • 5+ Years’ experience in producing and/or production management roles in live music industry
  • Competent with Microsoft Office, Mac IOS, and digital platforms
  • Excellent organizational skills in scheduling, budgeting, record keeping, etc.
  • Demonstrated success of managing technical crews including sound, lighting, video and live-streaming engineers
  • Excellent time management skills to plan and execute several projects simultaneously with the ability to meet deadlines
  • Thrives in a high-performing, small nonprofit organization, with an understanding of its opportunities and limitations
  • Personable, energetic, passionate, and knowledgeable about music, culture, and Los Angeles

Title:  2023 Concert Season Music Programmer, Levitt Pavilion Los Angeles

Contractor, Part Time, Reports to Executive Director

Position Summary

The Levitt Pavilion Los Angeles (“Levitt LA”) 2023 Season Programmer (Programmer) is responsible for the curation and programming of the Levitt LA summer concert series, including booking artists and related administrative functions. Working closely with the Executive Director and Levitt LA Team members, the Programmer will book high-quality music artists for FREE concerts at the Levitt Pavilion in MacArthur Park, creating a season that reflects the organization’s mission to build community through music, to celebrate the diversity of Los Angeles, and to bring people together of all ages and backgrounds. This mission is implemented through the artists we program, curatorial partnerships and coordinated efforts with nonprofits, promoters, government offices and agencies, and other local entities. The Programmer attends every concert they curate, seeing the concert come to successful fruition from beginning to end.

RESPONSIBILITIES

  • Collaborate with the Executive Director and Levitt LA team members in building on existing comprehensive programming strategies that reflect the organization’s mission and values and incorporate audience development and community engagement objectives
  • Collaborate with Levitt LA team members in curating a high-quality summer concert series within the budget that incorporates a broad range of music genres, performers, and cultural celebrations reflective of the Westlake community, surrounding neighborhoods, and the numerous communities that comprise Los Angeles’ population
  • Research, identify and book local, regional, national and international artists
  • Specifically, the Programmer will book music acts for 10 – 25 concerts, scheduled between May through September of 2023 ranging in per-concert budget from $1,500 to $15,000
  • Serve as the organization’s artistic/programmatic liaison and maintain relationships with artists, artist management, and agents
  • Manage all aspects of booking artists, including negotiating fees, radius restrictions, and other contract terms and conditions
  • Work closely with Production Manager to prepare artist contracts for Executive Director’s signature
  • Communicate to and coordinate with Marketing Manager regarding artist press, film, and photography requests
  • Create 2-3 play lists to share on Levitt LA’s Spotify for season line up promotion
  • Communicate with artists prior to each concert, leading up to and the day of, regarding Levitt’s expectations of artists and performers to ensure Levitt LA’s standards of providing high-quality, family-friendly entertainment for all ages will be met
  • Identify cost savings and audience development opportunities through strategic programming partnerships, ensuring one or more concerts have a co-presenter
  • Collaborate with Levitt LA team members and artists in developing marketing strategies for the summer concert series to achieve audience goals of at least 1,000 audiences per concert
  • Maintain positive relationships with the public, artists, volunteers, sponsors, donors, partners, vendors, the media, contractors, and staff; display a commitment to working effectively with people of diverse backgrounds and abilities
  • Provide regular reports to the Executive Director reflecting progress on the above-outlined responsibilities and attend team programming meetings
  • Perform the above-outlined responsibilities within established timelines and meet project deadlines

Levitt LA Sustainability
All members of the small yet mighty Levitt LA team are involved with the long-term sustainability work that comes with running a free concert venue, ensuring that multiple revenue streams work in unison for a successful, healthy, and ethical nonprofit. The Programmer is partially responsible for creatively generating revenue from partner opportunities, which may include concerts with costs shared by co-presenters, multi-organization-led events, resource sharing, sponsorships from artist-connected brands, international support or other ideas. Creative revenue generation does NOT include heavily reducing artist fees or asking artists to perform for “exposure.” All artists are paid to perform at Levitt LA.

Skills & Experience

  • 5+ years experience in programming/producing in the live music and/or performing arts industry
  • Exemplary experience programming diversity on the stage including race, gender, age, ability etc.
  • Advanced knowledge of local Los Angeles music scenes, trends, and community
  • Experience in negotiating contracts and artist fees
  • Established relationships with artists, managers, concert producers, promoters, and cultural organizations required
  • Understanding the history and current developments of MacArthur Park and Levitt LA is a plus
  • Excellent organizational skills in scheduling, budgeting, record keeping, etc.
  • Personable, energetic, passionate, and knowledgeable about music, culture, and Los Angeles

Compensation & Timeline

This is a part-time, 1099 contractor position. Starting date will be upon hiring through the end of the 2023 concert season in September. Heavy periods of work will be from December through the season announcement in March. Attendance is appreciated at the concerts for maintaining optimum artist relationships. Programmer is expected to answer questions for show advancement with the Production Manager and marketing questions with the Marketing Manager from March through the concert season and day of concert.

Levitt LA has two Programmer positions available to program 10 – 25 concerts each. Compensation is based on the number of performances programmed and experience. Contracts will range from $12,000 - $25,000. Priority will be given to bilingual applicants and those who have a direct connection with the MacArthur Park/Westlake area and the Los Angeles music community. Ideas for creatively generating revenue through partnerships will be welcome and desired.
